If you want to rent a mailbox or postal address in Berlin, you have four options: a PO box, mail forwarding, a digital postal address with scanning, or a virtual office. A PO box or digital postal address usually covers personal mail. For an Impressum, trade registration, or the commercial register, you need a real street address with mail acceptance instead; a PO box won't work there.
The terms get mixed up in everyday use. "Renting a mailbox" could mean a compartment at a post office, an address in Mitte, or a service that turns your letters into a PDF on your phone. Here's how the options break down.

Option 1: a PO box at a Berlin post office
A PO box is a lockable compartment at a post office. Your letters arrive there, and you pick them up during opening hours.
Good for: people regularly near the branch who don't want their home address listed everywhere.

Option 2: mail forwarding
A mail forwarding order has the postal service redirect letters from your old address to a new one, for a limited time and a fee.
Good for: the transition right after a move.

Option 3: a digital postal address with scanning
You rent a street address in Berlin. Mail arriving there gets accepted, scanned, and made available to you digitally. The original gets forwarded on request.
Good for: freelancers, people who move or travel often, and anyone who wants their mail in one place. Depending on the provider, it can also work for an Impressum, if mail is actually accepted there by staff.
Limits: a plain postal address usually isn't cleared for trade registration or the commercial register. For that, you need option 4.

The virtual office is the most complete option. You get a business address with a rental agreement that you can register as your company seat, list with the trade office, and use in your Impressum. Mail gets accepted and digitized the same way as option 3.
