PO Box as a Business Address? What's Allowed, and Alternatives

A PO box can serve as your company's mailing address, but in many cases it can't be your official business or registered address. For an Impressum, a commercial register entry, or a UK registered office, a PO box generally doesn't cut it.

A PO box is cheap and keeps your home address private. Even so, plenty of people run into trouble with one the moment things get official. Here's where the limits sit, and what to use instead.

What a PO box can do

A PO box is a numbered slot at a post office or private provider. You pick up your mail yourself or have it forwarded. There's no street, no building, and no reception desk to sign for anything.

That's fine for marketing responses, orders, and simple correspondence. The moment an authority asks for an address with a street name and number, though, the usefulness ends.

Where a PO box falls short

An Impressum in Germany. The Digital Services Act (Section 5 DDG) requires a serviceable address, and a PO box doesn't meet that bar. What actually has to go in an Impressum is covered in our requirements checklist.

Commercial register entries and registered offices. A GmbH or UG's registered office needs a domestic address where the company can actually be reached.

A UK registered office. Companies House doesn't accept PO boxes as a registered office. What's required is an address where documents can be delivered and receipt acknowledged, more on that in Virtual address in the UK.

A US registered agent. The agent needs a physical address in the relevant state where deliveries are accepted in person. A PO box doesn't qualify.

Banks, payment providers, marketplaces. During identity verification (KYC), many providers reject PO boxes as a business address.

Where a PO box is enough

As a plain mailing address for returns or correspondence, a PO box is fine, as long as no authority is asking for a registered or residential address. A small online shop that only receives return shipments can get by on one.

Example: a translator based in Cologne

A freelance translator has used a PO box for years because she didn't want her home address on her Impressum. Then the marketplace where she offers her services starts requiring a serviceable address, and the tax office asks for a contact address with a street name.

She switches to a virtual business address. Mail gets scanned, her Impressum shows a proper address, and her home address stays out of it. She doesn't have to move or change offices to do it. This example is invented too.

What to check when you switch

Not every virtual address counts as a registered seat everywhere. Check whether the provider actually allows the address to be used as a business address, for companies specifically, the register court has the final say.

Update old address details. Your Impressum, invoice templates, commercial register entry, payment providers, and contracts all need updating.
